Air quality is a fast-growing area of concern and EarthSense has helped the likes of BBC and ITV promote the dangers of breathing poor air, along with all of our blue-chip, global clients who are taking positive steps to reduce air pollution.

As an outcome of our fast growth, we are looking to recruit a number of highly capable and ambitious individuals, who will enable the next stage of our business evolution, establishing key positions in our exciting company.

Job Summary 

We are looking for a talented Administration Assistant to join the team to provide essential support the senior management team. This role will offer a unique blend of HR and administrative, responsibilities for the senior management team and the wider EarthSense team. We are looking for a self-starting, detail-oriented individual with a great work ethic to contribute to both the growth and culture of the company. The successful candidate will work directly with the Managing Director and executive team and have great opportunities to develop and progress a career within a fast growing and dynamic team.

Salary: £20,000 - 22,000 per annum dependent on experience

Location: Leicester, UK
Start date: Immediate (flexible depending on candidate)

Key Accountabilities

Administrative support                                                                                                 HR Assistance 

  • Act as the first point of contact for external inquiries and manage day-to-day communications (emails, phone calls, etc.), escalating where necessary.

  • Maintain existing databases to store files and data, ensuring record-keeping is up-to-date and efficient.

  • Provide administrative support in the arrangement of meetings, managing calendars, taking minutes and sorting travel arrangements for the team,.

  • Support budgeting and bookkeeping procedures

  • Assist in organising company events, conferences and workshops.

  • Create and update records and databases with personnel, financial and other data

  • Coordinate office activities and operations to secure efficiency and compliance to company policies

  • Manage office supplies and equipment

  • Handle travel arrangements and bookings

  • Assist in the recruitment process.

  • Help onboard new hires, prepare onboarding materials, and coordinate orientation sessions.

  • Maintain employee records.

  • Support the development and execution of HR initiatives, including employee engagement activities and internal communications.

  • Track employee attendance, vacation requests, and assist in payroll preparation e.g. keep track of salary sacrifice schemes

Knowledge, Skills & Experience Sought

  • Strong organisational and multitasking skills

  • Some relevant work experience or equivalent vocational training with regard to work processes

  • Good written and oral language skills

  • Familiarity with business administration and companywide policies and guidelines.

  • Knowledge of a range of standard computer software, e.g. Microsoft Office applications, and HR management systems.

  • Efficient output and attention to detail
